The mayor’s New Year reception: the calendar, counted backwards

New Year wishes are presented in January, until the end of the month by custom. They are prepared from the autumn.

  1. September or October: date and venue

Date set with the mayor’s office, hall booked, authorisation requested if a sports hall changes use. Audiences chosen: residents, staff, local stakeholders.

  2. November: guests and invitation card

Guest list consolidated with the departments, card designed to the local authority’s brand guidelines, notice ready for the December newsletter.

  3. Early December: invitations

Cards received at least three weeks before the ceremony, year-end holidays included. Online registration for residents if capacity requires it.

  4. December: speech and screening

The mayor’s office writes the speech, we set its length. The review of the year is edited from the departments’ images, music declared, subtitles included.

  5. The week before: plan and run-through

Seating plan, reserved seats, accessibility checked on site, speech rehearsed with the screening.

  6. On the day: welcome

Set-up in the morning, tests in the afternoon, welcome desk and cloakroom on time, drinks or king cake after the speeches.

New Year wishes to residents or to staff, in a sports hall or a multi-purpose hall

Two audiences, two tones, often two dates. A hall to make fit for a ceremony in a single day, and accessible to all.

  • Wishes to residents: open to all, in the evening or at the weekend, speech, review of the year, drinks.
  • Wishes to staff: during working hours, regional, departmental and municipal long-service medals, retirements acknowledged.
  • Wishes to local stakeholders: associations, businesses, public bodies, by named invitation.
  • Sports hall: floor protected, change of use authorised by the mayor under article GN 6 of the French fire safety regulations, within the deadline set by the municipality.
  • Sound and light: speakers spread through the space, sports lighting off, heating on early in January.
  • Accessibility costed in the quote: continuous route, reserved seats with a companion seat, hearing loop, sign language interpreter, subtitled screening.

The hall, chairs in place, before the doors open.

In a small municipality, a single ceremony may bring all three audiences together: shorter speech, medals presented first, new residents welcomed by name.

Before an election, article L. 52-1 of the French electoral code applies: the ceremony keeps its usual form, with no promotion of the local authority’s achievements.

What a town hall event really demands

Public-sector constraints settled in advance, one single contact to hold them.

  • Imposed calendar: council resolution, diary, call for projects.
  • Public budget: line-by-line quote, never a flat fee, point of no return announced.
  • Protocol: speeches, flag display, seating plan.
  • A single contact, from the file to the day itself.
  • Suppliers chosen, engaged and chased on your behalf.
  • The unexpected handled: cancellations, weather, delays.
